Job Description

STV is seeking an Executive Assistant to support the Chief Development Officer on project scheduling, reporting and business operations with preparing of reports, marketing collateral, and logistics, with heavy streamlining, organizing, prioritizing, CRM database updates, and scheduling. The ideal candidate is very detail oriented and structured and has a minimum of 6 years of Executive Assistant experience within AEC firms.

Job Responsibilities:

  • Support operations team of three with daily business activities
  • Prepare presentation and marketing collateral for events and presentations
  • Manage logistics and scheduling for events, including travel and lodging
  • Update CRM database and ERP reporting
  • Schedule internal/external meetings and appointments; coordinate conference room/calls.
  • Serve as the point of contact for internal employees to ensure prompt response time and to ensure efficiency of communications
  • Assist with overflow, special projects, assistant back-up team coverage and day-to-day tasks
  • Manage calendars and independently schedule appointments.
  • Collaborate with other executive admins in other areas of company to help coordinate events, meetings, etc.
  • Arrange and coordinate travel schedule and reservations for supervisor and/or team members, prepare agendas
  • Manage expense reimbursement process for supported team

Job Qualifications:

  • 6 to 10 years of Executive Assistant or Operation Support experience
  • Polished, professional, highly organized, self-starter, process-oriented
  • CRM experience (Deltek or BST8) preferred
  • Creative problem solver who can work independently
  • Excellent verbal, written, and interpersonal skills
  • High level of proficiency with MS Office/Ability to quickly become familiar with the firm's specific processes and tools/systems
  • Bachelor's Degree preferred
  • Willingness to be in the office Monday - Thursday each week, with Friday WFH

Compensation Range:

$66,545.00 - $88,727.00
